From 4th of July parties and parades to farmer’s markets, special events hold special risks. Review these tips for making sure everyone is protected while holding special events.
Amusement rides/carnivals, alcohol sales, fireworks, animals, and events specifically for small children are ripe with hazards. Events involving these should be reviewed in detail to identify and mitigate possible hazards.
Adopt an ordinance or policy that requires a special event permit.
If another organization uses your facilities/property for an event they hold or sponsor, use a well-worded contract and special events application permit. This helps transfer the risk and details the duties of each party.
A sponsor provides resources (money, personnel, products, equipment). If you are a sponsor, but not managing the celebration, this should be clear to all parties in the agreement. You may be asked if your coverage with RMSA is sufficient to cover all sponsoring parties. RMSA’s coverage agreement only covers you, not any vendors or participants.
RMSA is happy to review special event contracts and help you determine the best type of indemnity language for each contract.
